Guide for Oral Presentation · IHC2026, 23–28 August 2026, ICC Kyoto

How to prepare your slides, where to hand your file in, and what you will find at the podium. This page applies to every oral presentation, including keynote and invited talks.

Read this first: three things oral presenters often miss

  1. You cannot connect your own laptop. Every presentation runs from the conference PC installed in the session room. There is no cable connection for personal computers, including Macs.
  2. There is no online upload, and files are not accepted by email. You hand your file in yourself, on a USB flash drive, at the Preview Center in Room 104 during the congress.
  3. PowerPoint Presenter View is available only in the Main Hall. In every other room the podium monitor shows exactly what the audience sees, with no speaker notes and no next-slide preview.

Presenting without Presenter View

This is the single most common surprise for speakers at IHC2026, so please plan for it while you are still building your slides rather than discovering it at the podium.

Except in the Main Hall, the monitor in front of you mirrors the projected screen. It shows the same image the audience is looking at. Your speaker notes are not displayed, the next slide is not displayed, and PowerPoint's built-in timer is not available.

What this means

  • Notes typed into the PowerPoint notes pane will not be visible to you.
  • You cannot glance ahead to see what is coming next.
  • Animations and builds advance blind, so you need to know your own slide order.

What to do instead

  • Print your notes, or bring a paper script.
  • Rehearse at least once with the slide show running on a single screen.
  • Put the cues you need — a figure label, a number, a transition phrase — on the slide itself.
  • Bring a watch or a small timer.

Preparing your slides

Your file has to open and play correctly on the conference PC, which nobody can check for you until you arrive. Build to the specification below and test it on a Windows machine before you travel.

Before you leave home

Handing in your file

The Preview Center is the only place where presentation files are accepted. Staff check that your file opens correctly and then send it to your session room. Files sent to the secretariat by email will not reach the room.

Your QR code

Your presentation is called onto the screen with a QR code. Make sure you have yours with you when you go to the session room, and keep it somewhere you will not lose it. Without it your file cannot be called up, even though it is already on the conference PC.

Collect your name badge at the Registration Desk first. You need it to enter the session rooms.

How long you have

Look up your own slot in Program Search. The start and end times shown there are your total allocation, and discussion is included in it.

Please check your own allocation before you start building your slides, and follow the chair's instructions in the room.

Sessions run in parallel and audiences move between rooms, so a session that slips behind schedule costs the speakers who follow you. Please finish within your slot.

In the session room

Be in the room at least 30 minutes before the session begins — not 30 minutes before your own talk.

When your turn comes, hold up your QR code to the reader to bring your presentation onto the screen. From there you advance your own slides from the podium.

Please stay for the rest of the session. Discussion is the reason the audience came, and sessions run in parallel, so a session that slips behind schedule costs the speakers who follow you.

Registration

The presenting author must be registered and must have paid the registration fee to appear in the programme.
